- Select Service / New Appointment on the main menu of the FUEL Service Department software. The Search Customer and Vehicle window appears.
- Enter the search text in the Vehicle ID search field and click the Find Now button. The entries that match the entered criterion will be displayed on the Search result grid. If the appointment is scheduled for the customer, who contacted the dealership by phone, and there is little information about them, click the Quick Customer and Vehicle button to create a new customer and vehicle in the FUEL Service Department software right from this window.
- Select the required customer or vehicle from the Search Results grid.
- Click the OK button to create an appointment for the current customer.
Note: If appointments were already created for the customer, the Existing Appointments window appears, where you can edit existing appointment (select it and click the Edit button) or add a new one (click the New button).
- The Appointment window appears. Enter the necessary information in the fields.
- Click the Add / Edit Lines or Lines Summary button to add the line to the current appointment. For more information, refer to the Add the line in FUEL Service Department software page.
- Click the Save and Close button to save the changes to the appointment in the FUEL Service Department software and to exit the Appointments window. Click the Save and New button to close the current appointment and to create a new one.
Additional options available:
Vehicle Info - Click this button to display all the vehicles created in the FUEL Service software which belong to the current customer.
New Vehicle - Click this button to create a new vehicle in the FUEL Service Department software. After a new vehicle created, the Appointment window will appear automatically.
Edit Vehicle - Click this button to edit the information about existing vehicle in the FUEL Service and Repair software.
Customer Detail - Click this button to view more information about the customer.
New Customer - Click this button to create a new customer in the FUEL Service Department software. After a new customer is created, the Appointment window will appear automatically.
Edit Customer - Click this button to edit the information about existing customer in the FUEL Service Department software.
Quick Customer & Vehicle - Click this button to specify customer and vehicle information.
Customer Information
Customer - The control number and the full name of the customer or company.Home, Cell, Work - The home, cell and work phone numbers of the customer, which are taken automatically from the customer record.
E-mail - The e-mail address of the customer, which is taken automatically from the customer record.
Vehicle - The vehicle information, which is taken automatically from the vehicle record. It consists of the following elements: VIN, make code, model code and the year of the vehicle manufacture.
License # - The license number of the vehicle.
Unit # - The unit number of the vehicle.
Appointment Information
Appt date - The date the appointment is scheduled for. It should be earlier than the promised date and time.Appt time - The time the appointment is scheduled for. It should be earlier than the promised date and time.
Mileage in - The mileage of the vehicle at the time the repair order was opened in the FUEL Service Department software.
Service Advisor - The control number and the full name of the service advisor, who manages the current appointment.
Technician - The control number of technician.
Contact - Any additional contact information about the customer.
Authorized estimate - The total customer pay, which was approved by customer before start repairing the vehicle (the sum of money, which the customer agree to pay).
Total line estimate - The total amount, which will be calculated by the FUEL Service Department software before starting repair of the vehicle.
Total duration - The amount of time, which will be necessary to repair the vehicle.
Waiter - Select the check box to show that the customer is waiting for the repair to be done.
Special Order Part - Select this check box, if it is neccesary to order part(s) for the customer's vehicle beforehand.
Courtesy fleet - Select the service, which will be provided to customer for the time his vehicle is being repaired (Rental, Loaner, Shuttle).
Promised date - The date the repair is expected to be completed.
Promised time - The time the repair is expected to be completed.
The following options are available on the Appointment form of the FUEL Service Department software:
Convert to RO - Click the button to convert the appointment to the repair order in the FUEL Service Department software. For more information, refer to the Convert the appointment to the repair order in FUEL Service Department software page.
