CREATE NEW REPAIR ORDER in Fuel service department software
Use the following steps to create a new repair order in the FUEL Service Department software:

  1. Select Service / New Repair Order on the main menu of the FUEL Service Department software. The Search Customer and Vehicle window appears.
  2. Enter the search text in the Vehicle ID search field and click the Find Now button. The entries that match the entered criterion will be displayed on the Search result grid.


  3. Note: The search in the FUEL Service software can be performed by the following information: customer control number, first name, last name, cross-reference information, name 2, main phone number, vehicle ID, VIN, license, sticker, and unit numbers of the vehicle.

  4. Select the required entry in the grid.


  5. Additional options available:
    Vehicle Info - Click this button to display all the vehicles belonging to the current customer.
    New Vehicle - Click this button to create a new vehicle in the FUEL Service Department software. After a new vehicle is created, the Repair Order window will appear automatically.
    Edit Vehicle - Click this button to edit the information about the existing vehicle in the FUEL Service Department software.
    Customer Details - Click this button to view more information about the customer.
    New Customer - Click this button to create new customer in the FUEL Service Department software. After a new customer is created, the Repair Order window will appear automatically.
    Edit Customer - Click this button to edit the information about the existing customer in the FUEL Service Department software.

  6. Click the OK button to create the repair order for the selected vehicle in the FUEL Service Department software.

    Note: If repair orders have been already created for the customer, the Existing ROs window will appear, where you can edit existing repair order (select it and click the Edit button) or add a new one (click the New button).

  7. The Repair Order window will appear. Enter the necessary information in the fields.
  8. Customer Information
    Customer - The control number and the full name of the customer who owns the vehicle to be repaired.
    Home, Cell, Work - The home, cell and work phone numbers of the individual or company, which are taken automatically from the customer record.
    E-mail - The e-mail address of the customer, which is taken automatically from the customer record.
    Vehicle - The vehicle information, which is taken automatically from the vehicle record. It consists of the following elements: VIN, make code, model code and the year of the vehicle manufacture.
    License # - The license number of the vehicle.
    Unit # - The unit number of the vehicle.
    Repair Order Information
    Tag # - The tag number of the repair order, which is usually three last digits of the VIN.
    Mileage in - The mileage of the vehicle at the time the RO was opened.
    Service Advisor - The control number and the full name of the service advisor.
    PO# - The number of the customer purchase order, which is a document or form used by a customer to issue an order for goods or services.
    Contact - Any additional contact information of the customer.

    Payment type - The way the individual or company is going to pay for the work on the repair order.
    Authorized estimate - The total customer pay, which was approved by customer before start repairing the vehicle (the sum of money, which the customer agree to pay).
    Total line estimate - The total amount, which will be calculated by the FUEL Service Department software before starting to repair the vehicle.
    Total duration - The amount of time, which will be necessary to repair the vehicle.

    Waiter - Select the check box to show that the customer is waiting for the repair to be done.
    Special Order Part - Select this check box, if it is neccesary to order part(s) for the customer's vehicle beforehand.

    Courtesy fleet - Select the service, which will be provided to customer for the time his vehicle is being repaired (Rental, Loaner, Shuttle).
    Promised date - The date the repair is expected to be completed.
    Promised time - The time the repair is expected to be completed.

  9. Click the Add / Edit Lines button to add a line to the current repair order.
  10. The new Line window will appear. Enter the complaint code in the Code field. Click the button to search for the necessary code.
    Description of the complaint will be filled automatically by the FUEL Service and Repair software. If necessary, change it in the Description field.
    Enter the type of the labor in the Labor type field. Click the button to search for the necessary labor type.
    Fill the Dispatch code field. Click the button to search for the necessary dispatch code in the FUEL Service Department software.
  11. Enter other necessary information in the fields.
  12. Click the OK button to save the information. Click the Next button to add another line. Click the Prev button to return to the previous record.
  13. Click the Save and Close button to save the repair order in the FUEL Service Department software and exit the window. Click the Save and New button to save the current repair order in the FUEL Service Department software and create a new one.
  14. If the corresponding option is set in the FUEL Service Department software, the Do you want to print Workorder? message appears. Click Yes to print the workorder. Click No to close the message window.
